Small businesses often lack the financial and human resources to outsource essential functions such as accounting, design, and market research. In response, many are adopting artificial intelligence tools to manage these administrative burdens. According to a report by MIT Technology Review, current AI models are capable of handling basic secretarial and administrative tasks, allowing owners to redirect their time toward core business activities.

Sam Finnegan-Dehn, a private tutor based in London, utilises Notion AI to streamline his operations. While working in charity fundraising, he moonlights as a math and philosophy tutor, a role that requires extensive planning, invoicing, and record-keeping. Finnegan-Dehn uses the software to record client meetings with consent and generate automated summaries, which he uses to refine his teaching strategies. The tool also assists with goal-setting, helping him bridge the gap between long-term business objectives and the concrete steps required to achieve them.

Notion, a long-established note-taking platform, released its AI add-on in late 2023. The integration connects with email clients, calendars, and other productivity platforms to automate summaries and sync information across documents. This level of access allows the software to act as a virtual assistant, handling rote tasks such as searching through notes and drafting social media posts, which frees up bandwidth for small business owners with limited capacity.

Other sectors are also seeing specific applications of the technology. Grandma’s Quilt Shop in Yuma, Arizona, uses Rain software, which is tailored for craft companies, to generate inventory descriptions and pricing for its fabric designs. The owners report that the tool has reduced the time required to list items by between 60 and 80 percent. Such niche solutions demonstrate how AI can be adapted to industry-specific needs beyond general administrative support.

Despite the efficiency gains, experts advise caution. The Notion AI add-on costs approximately $20 per month, and users may encounter technical glitches or idiosyncrasies. Furthermore, the broad data access required for these integrations has raised privacy concerns. Business owners are urged to weigh the potential headaches and recurring costs against the benefits of automation, ensuring the tools are suitable for their specific operational needs.
